It shall be his or her duty to preside at all meetings; to have general and active management of the business of the booster club; to see that all orders and resolutions are carried into effect; to executed all contracts, agreements, and other obligations and instruments in the name of the booster club. He or she shall have the general supervision and direction of the officers of the booster club and shall see that their duties are properly performed. He or she shall be ex-officio a member of all standing committees and shall have the general duties and powers of supervision and management usually vested in the office of president of a company. In summary, the President oversees the Board, sets meeting agendas with Secretary, presides over monthly meetings, liaisons with school administrators/advisors/coaches, and delegates/review objectives/issues with elected officers/board/chairs/members regularly.
EX OFFICIO BOARD MEMBER A member who is not elected or appointed to the board, but instead one who serves in an advisory capacity. This board member holds experience and expertise regarding CR Boosters that can be helpful to the board in carrying out its duties.
VICE PRESIDENT OF ACADEMICS Liaison between Boosters, Associate Principal of Academics AND club advisors. The vice-president acts as the president’s representative in his/her absence. They must remain familiar with the organization. The major duties include, but are not limited to, the following: • Preside at meetings in the absence or inability of the president to serve; • Perform administrative functions delegated by the president; • Perform other specific duties as outlined in the bylaws of the organization. SECRETARY Take notes and presents monthly minutes at Boosters meetings along with sending monthly meeting reminders. The secretary attends all meetings of the booster club and the executive committee, if any. Act as clerk and records proceedings of such meetings. Gives proper notice of meetings and performs such other duties as the executive board may from time to time prescribe or require. The major duties include, but are not limited to, the following: • Report on any recommendations made by the executive board of the booster organization if such a governing board is defined by the bylaws; • Maintain the records of the minutes, approved bylaws and any standing committee rules, current membership and committee listing; • Record all business transacted at each meeting of the association as well as meetings of any executive board meetings in a prescribed format; • Maintain records of attendance of each member; • Conduct and report on all correspondence on behalf of the organization; • Other specific duties as outlined in the bylaws of the organization.
TREASURER (MoneyMinder) and CO-TREASURER (Deposits Only) Process all requests for disbursements, payments to companies for team/club needs, balances accounts, etc. Provide monthly balance sheet of all team and club balances to Associate Principals and at Board/General meetings. Present budget at beginning and ending of each school year. The treasurer has custody of the funds and securities of the booster club and keeps full and accurate accounts of receipts and disbursements in books belonging to the booster club and deposits all moneys and valuable effects in the name and to the credit of the booster club in such depositories as may be designated by the executive board. Disburses the funds of the booster club in such depositories as may be ordered by the executive board, executive committee or directors, taking proper vouchers for such disbursements, and shall render to the directors, whenever they may require it, an account of all his or her transactions as treasurer and the financial condition of the booster club at the regular meeting. He or she shall perform such other duties as the executive board may from time to time prescribe or require. The major duties include, but are not limited to, the following: • Serve as chairperson of the Budget and Finance Committee if prescribed within the bylaws of the organization; • Issue a receipt for all monies received and deposit said amounts on a weekly basis; • Present a current financial report to the executive committee and general membership within thirty days of the previous month end; • Maintain an accurate and detailed account of all monies received and disbursed; • Reconcile all bank statements as received and resolve any discrepancies with the bank immediately; • File sales tax reports as required by the comptroller’s office (monthly, quarterly, or annually); • File annual IRS forms in a timely manner; • Submit records to audit committee appointed by the organization upon request or at the end of the year; • Other specific duties as outlined in the bylaws of the organization. Note: Due to the increasing requirements placed on charitable organizations by the Internal Revenue Service, it is strongly recommended that the Treasurer have an accounting background. Treasurer position must pass and maintain a good credit score.

(There is a Baseball Stand that can be run by baseball parents if coordinated with Boosters - ONLY IN SPRING.) Communicate with Concessions Purchaser, Scheduler, Fundraiser Chair, Principal, Associate Principal of Academics and Associate Principal of Athletics. Make sure food handler permits (food worker cards) are updated/posted and concessions stands are ready for annual county inspection. Work with Treasurer to get cash box/square registers set up. Update procedures/prices in concessions areas and binders. Act as back-up Opener/Closer. Train/recruit EVENT LEADS to open/close, includes cash box/square processing. EVENT LEADS in turn train new leads, coaches, advisors, and volunteers. Check SignUpGenius before each event for list of volunteers. Coordinate annual audit at the end of school year. ($500 Stipend possibly available. Must be CR Booster Member and can only receive a CR Boosters stipend once per fiscal year.) CONCESSIONS - EVENT LEADS (Open/Close) - FALL/WINTER/SPRING Open/close concessions stand during events, includes cash box/square processing. Train and recruit event leads, coaches, advisors, and volunteers. Check SignUpGenius beffore each event for list of volunteers. CONCESSIONS - PURCHASERS - FALL/WINTER/SPRING Purchase/stock/inventory items for concession stands (Outside Main Stand in Fall/Spring, Inside Stand in Fall/Winter, and Outside Baseball Stand only in Spring if baseball parents interested in running).Communicate with Concessions Manager/Leads and Scheduler to help coordinate inventory/prices as needed. Help manage Google Sheets Concessions Tab. Help with annual audit at the end of school year. CONCESSIONS - SCHEDULER - FALL/WINTER/SPRING Coordinate Fall, Winter, Spring Concessions drawings with Concessions Manager and Fundraiser Chair (fundraiser packet). Help manage Google Sheets Concessions Tab and utilize Boosters SignUpGenius account for concessions volunteers. Email teams/clubs regarding concessions schedule & information after drawings. File emails in CR Booster Email account in SignUpGenius Folder. Follow up with coaches/advisors making sure they have volunteers signed up in SignUpGenius for their concessions date(s). (Scheduler can enter names/emails directly in SignUpGenius if needed. SignUpGenius sends automated reminders.) Ensure that all teams/clubs are offered the opportunity to co-participate with concessions during the year.(CR Boosters has a paid annual account.)
FUNDRAISING - TRACKER (ASSIGNED TO VP'S) Work with Concessions Team to present fundraiser packet at Fall/Winter/Spring Sports Nights and Club Meetings. Track and work with treasurer and school administrators to approve fundraisers for clubs/teams to ensure all fundraising activities fall within VPS and IRS guidelines for non-profits. Manage fundraiser applications and tab in Boosters Google Sheets. Share fundraiser calendar on website to insure no conflict or competition between the various booster clubs and teams. ONLY drawings allowed, not raffles unless state guidelines followed. Work to develop an alliance with local businesses to help fund annual activities/programs. In charge of developing and overseeing the various club drawings. MARKETING - NEWSLETTER Create and publish monthly newsletter for school wide distribution, social media, and website. MARKETING - SOCIAL MEDIA Post on Social Media accounts (Facebook and Twitter, and Instagram as of Fall 2020). MARKETING - WEBSITE Keep website updated.
MEMBERSHIP Develop and implement membership drives, media packets and promotional literature. Coordinate membership table at back-to-school, open house, fall/winter/spring sports nights, and freshman events. Collect Membership forms and use online membership program to export list and update Boosters Google sheets to provide monthly membership list for meetings and concessions. Work to educate staff/parents/students/community as to the value of the booster club.
STAFF APPRECIATION Organize staff appreciation events and stock staff room (AUG/SEP back-to-school treats, OCT conferences, DEC cookie exchange, APR conferences, MAY staff appreciation week, JUN year-end luncheon).
